How to write a quote for a job | Write job quotes that win business

Description:

This is a video produced by Xero that explains the best practices of writing a quote which we found incredably helpful.

Here's some other tips we find increase the chances of winning business when producing a price quote.

Mention benefits where possible: Don't just list what you'll deliver, say what it actually does for them. "Redesigned checkout" means little on its own, but "a redesigned checkout that reduces drop-off and recovers lost sales" ties the cost to a result they care about. People pay for outcomes, not tasks, so a quote that connects the two is far easier for the reader to justify to themselves, and to whoever they forward it on to.

Send it fast: The quote that lands first often wins, partly because it sets the benchmark every other quote gets measured against, and partly because speed signals you're organised and easy to deal with. If you can turn something around while the conversation's still fresh, you're already ahead of the competitor who's "getting back to them next week."

Make the next step obvious: Once someone's decided they want to go ahead, don't make them hunt for how. A clear accept button, a link to pay a deposit, or even a single line spelling out exactly what happens next removes the small bit of friction that turns a "yes" into an "I'll sort it later", which has a habit of becoming never.

Make it personal: A quote that references their actual situation beats a copy-paste template every time. Mentioning the specific problem they told you about shows you were listening, and makes the price feel tailored to them rather than pulled off a shelf.

Always follow up: Most quotes aren't won or lost the day you send them, they're won on the follow-up. A short, friendly nudge a few days later ("just checking this landed okay, happy to talk anything through") keeps you front of mind and gives them an easy opening to raise the objection that's quietly holding them back
